We collect the following types of information:
Information You Provide:
- Data extracted from medical bills you upload for analysis (we do not store original images or files)
- Household income and household size (for charity care eligibility screening)
- Account information when you create an account (name, email)
- Messages you send through our AI chat assistant
Information Collected Automatically:
- Usage analytics (page views, feature usage)
- Device and browser information
- IP address and approximate location
2. How We Use Your Information
- Analyze your medical bills for billing errors using AI
- Check your eligibility for hospital financial assistance programs
- Generate appeal letters and other correspondence
- Process payments for bill analysis services
- Improve our service and user experience
- Communicate with you about your account
3. How Your Medical Bills Are Processed
When you upload a medical bill:
- The bill is processed using AI to extract billing data (charges, codes, amounts)
- We extract and store the following from uploaded medical bills: provider information (name, address, NPI), insurance information (payer name, plan type), line item descriptions and charges, dates of service, and total amounts
- We do not extract or store patient identifying information (name, date of birth, member ID, account numbers) from uploaded bills
- Only extracted data (text and values) is stored; original images and files are not retained
- We do not sell or share your medical bill data with third parties
4. Third-Party Services
We use the following third-party services:
- Authentication provider — account management and secure login
- Payment processor — payment handling (we never store credit card information)
- AI processing provider — bill analysis and data extraction
- Analytics provider — anonymous usage analytics to improve our service
Each provider processes data in accordance with their own privacy policies.
5. Data Storage & Backups
Stored data is backed up daily to encrypted cloud storage. Backups are retained for 365 days and are subject to the same access controls as our primary database. Following account or data deletion, residual copies may persist in encrypted backups for up to 365 days before being automatically purged.
6. Your Rights
You may delete individual bills from your dashboard or delete your entire account from your profile settings. You may also request deletion by contacting us at support@healthbillcentral.com. Please note that deleted data may persist in encrypted backups for up to 365 days.
7. Cookies
We use essential cookies for authentication and session management. Analytics cookies track anonymous usage patterns to improve our service.
8. Children's Privacy
Our service is intended for adults only (18 years and older). We do not knowingly collect data from minors.
9. Changes to This Policy
We may update this policy from time to time. We will notify you of significant changes via email or a notice on our website.
